The Coin Shop LLC (“we,” “us”) operates Coin Dealer X (the “Service”). This Privacy Policy describes how we collect, use, disclose, and protect information when you visit the site, apply for membership, or use dealer features. It applies together with our Terms of Service.
1. Information we collect
Application and account information: business name, contact name, email, phone, address, website, years in business, business type, buying/selling intent, dealer references, payment method preferences, SpotPro affiliation, passwords (stored hashed), and notes you submit.
Listing and transaction data: inventory titles, descriptions, prices, photos, videos, order records, cart and watchlist activity, payment method selections, shipping addresses you provide for orders, and messages between Members.
Referral data: if a Member refers you, we store the referrer, invitee email, optional company name, and personal note.
Technical data: IP address, browser type, device identifiers, cookies, session IDs, access logs, and security/event logs.
Communications: emails we send (application status, order updates, referrals) and support correspondence.
2. How we use information
- Operate, secure, and improve the Service;
- Review applications and manage vetted dealer access;
- Display listings, facilitate messaging, and record order status between Members;
- Send transactional emails and optional reminders (e.g., referral follow-ups);
- Prevent fraud, abuse, and unauthorized access;
- Comply with law, enforce our Terms, and protect our rights;
- Aggregate or de-identify data for analytics and product development.
We do not sell your personal information for money. We may share data with affiliates in The Coin Shop LLC / SpotPro network for operational purposes, but we do not give or sell your information to unrelated third-party marketers. We do not use application data to market consumer products to your retail customers.
Marketing email: We may send Service updates or network news. You may opt out of non-essential marketing emails via unsubscribe links or by contacting us; transactional messages (applications, orders, security) may still be sent.
3. How we share information
We may share information:
- Between Members as needed for wholesale transactions (e.g., seller sees buyer ship-to on an order; parties see each other’s business names on listings and messages);
- With service providers who host, email, process payments (when enabled), or support SpotPro integrations — under confidentiality obligations. If you use card checkout, payment processors may process data under their own policies and jurisdictions;
- With affiliates in The Coin Shop LLC / SpotPro dealer network for operational consistency;
- For legal reasons if required by law, subpoena, or to protect safety, rights, or property;
- In a business transfer if we merge, sell assets, or reorganize (with notice where required).
Dealer references you provide may be contacted during vetting. Do not submit reference contact information without permission.
4. Market data and third-party feeds
Spot, Greysheet, or other reference prices may be obtained from third-party sources. Those providers may receive technical request data (e.g., IP, timestamps) under their own policies. We are not responsible for third-party privacy practices.
5. Cookies and sessions
We use essential cookies and similar technologies for login sessions, security, and preferences. You can control cookies through browser settings; disabling them may limit Service functionality.
6. Data retention
We retain information while your account is active and as needed for legal, tax, dispute, and security purposes. Application records (approved or rejected) may be kept to prevent duplicate vetting and maintain audit trails. You may request deletion subject to exceptions below.
7. Security
We use reasonable administrative, technical, and physical safeguards, including encrypted connections (TLS) for data in transit. Where card payments are enabled, card data is handled by PCI-compliant processors; we do not store full card numbers on our servers. No method of transmission or storage is 100% secure. You are responsible for safeguarding your password, not sharing credentials, and notifying us of suspected unauthorized access.
8. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, or restrict certain processing of your personal information. Contact us at info@spotpro.us. We may verify your identity before responding.
California residents may have additional rights under the CCPA/CPRA. We do not sell personal information as defined by California law.
9. Children
The Service is for businesses and adults 18+. We do not knowingly collect information from children.
10. International users
The Service is intended for U.S. dealer businesses. If you access from outside the United States, you consent to processing in the U.S.
11. Changes
We may update this Privacy Policy. The effective date at the top will change. Continued use after updates constitutes acceptance.
